Terms of Service

Gulf Coast Event Services acts as the sole Event Planner and On-Site Coordinator for the Signal Cove Event Center. Gulf Coast Event Services provides a bridge between the facility and external service providers to ensure a seamless turn-key experience.

2. Booking & Confirmation

To secure a specific event date, a completed 'Event Reservation Form' and the required security deposit must be presented to the Gulf Coast Event Services coordination team. No dates are officially 'Locked In' or guaranteed until these requirements are met in full. All bookings are subject to venue availability and manager approval.

3. Payment Schedule & Final Balance

Full payment for all venue rental fees, staffing costs, and equipment rentals MUST be received IN FULL no later than 48 hours prior to the scheduled start of the event. Failure to provide full payment by this deadline may result in immediate cancellation of services and forfeiture of the security deposit, unless alternative arrangements have been formally authorized in writing by Gulf Coast Event Services management.

4. Catering & Professional Vendors

To maintain the highest standards of safety and quality, all food and alcohol catering MUST be sourced through we also have a licensed and insured vendors. Gulf Coast Event Services provides a Preferred Vendor List for all event needs. For all turn-key packages and catering solutions provided through our coordination, professional liability insurance is included in the package price. Gulf Coast Event Services does not permit un-licensed catering services on the premises.

5. Alcohol & Florida Liability Law

In accordance with Florida Law and our liability mandates, any guest wishing to provide their own alcohol (BYOB) for an event must strictly adhere to the following: (A) The Client must obtain a separate 'Special Event Insurance Policy' with a minimum liability coverage as specified by management. (B) This policy MUST list both 'Gulf Coast Event Services' and 'Signal Cove Event Center' as 'Additional Insured' parties. (C) A copy of this certificate of insurance must be provided to our coordination team 48 hours prior to the event. Professional bartending staff (provided by our coordination) is required for any event serving alcohol to ensure safe and legal consumption.

6. Facility Usage & Decorations

Clients are expected to respect the Signal Cove facility. (A) No permanent alterations, including nails, tacks, or staples, are permitted. 3M/Scotch wall-safe tape is the only permissible adhesive. (B) For DIY rentals, the client assumes full responsibly for cleaning and trash removal. (C) For Turn-Key rentals, the coordination staff manages all breakdown and maintenance. (D) The client assumes full financial liability for any damage caused to the facility during the duration of their event.

7. Cancellation & Refunds

Security deposits are non-refundable in the event of a client-initiated cancellation within 30 days of the event. Cancellations made further in advance may be subject to a partial refund at the sole discretion of management. Force Majeure: Gulf Coast Event Services is not liable for events beyond our reasonable control, including but not limited to severe weather, utility outages, or government mandates.

8. Indemnification

The Client agrees to indemnify and hold harmless Gulf Coast Event Services, Signal Cove Event Center, and their respective officers, employees, and agents from any and all claims, damages, liabilities, and expenses (including legal fees) arising out of or related to the Client’s use of the facility or the conduct of the Client’s guests and invitees.

9. Waterfront Safety & Child Supervision

Signal Cove Event Center is a waterfront property. We do NOT provide a dedicated play area or supervision for children. All children on the premises MUST be under the continuous and direct supervision of an adult at all times. Gulf Coast Event Services and Signal Cove Event Center assume no liability for the safety or conduct of unsupervised minor children while on the property.
